ET Jira, how to request access, how to log into service, and settings recommended for first-time users

Request Access

ET Jira is owned by the Enterprise Technologies (ET) department and the Enterprise Information Systems (EIS) division. To request access, please email the following distribution list:

iteis@mso.umt.edu

Before your ET Jira account is provisioned, you will need to work through training/introduction to ET Jira with the EIS manager.

 

Log In

 

ET Jira login can be found here:

The above UM address redirects here, which is the home address of the ET Jira system:

At first login you will be redirected to the Atlassian login page. 

https://id.atlassian.com/login 

Under the “Log in to continue” prompt, enter your username@umontana.edu email, which is tied to your UM Single Sign-On (SSO) credentials, and select the “Continue” button.

If you correctly entered in your @umontana.edu email address, you will be redirected to UM SSO to authenticate, where you will enter your NetID user name and NetID password.

 

Starting Home Page

Upon first logging into ET Jira, the default will take you to the "Your Work" page. You may consider making some/all of the following changes:

Starring (Favorite) Projects

Starred projects will show on the bottom of your "Your Work" page.

To add a start to a project, you can find it in on the Projects listing page and select the star icon to the left of that line item.

Starring (Favorite) Dashboards

Starred dashboards will show on the bottom of your "Your Work" page.

To add a start to a dashboard, you can find it in on the Dashboard listing page and select the star icon to the left of that line item.

Change default home page

You can change the default page you're presented with upon first logging into Jira Software. Go to the Personal Settings page, or navigate there by opening the settings icon (gear icon in the upper-right), and selecting "Personal Jira Settings".

On the "Personal Settings" / "General" page, you can change the selection in the "Your Jira homepage" section.

You can select between the following options:

  • Your Work
  • Projects Directory
  • Dashboards

Make sure to select the "Save Changes" when you make any changes here.

 

Email Integration

 

Email Address

Notifications from ET Jira should originate from the following email address:

jira@umontana.atlassian.net

We recommend adding this address to your Outlook safe-sender list so they are never filtered to your junk email folder. Please see the following Microsoft Support article for more information.

Email Notifications

You can control email notifications for your account. Go to the Personal Settings > Project and Issue Notifications page, or naviate there by opening the settings icon (gear icon in the upper-right), and selecting "Personal Jira Settings".

On the "Personal Settings" / "General" page, in the left menu open the "Projects and Issues" page.

Under the "Group notification emails together" section, you can use the drop-down menu to change how often emails are sent to you via grouping emails. The default setting is for "Every 3 minutes". UM IT ET / EIS recommends chaning this to "Every 30 minutes" or "Every 60 minutes" to reduce the total number of emails sent to you when you receive alot of emails from ET Jira or when you have alot of active issues.

 

Email Replies

The reply-to-Jira ticket integration now works! When you reply to a Jira issue, it should place your email as a comment on the Jira issue ticket. Updated 2024.11.25 - We are troubleshooting an issue where emails sent from addresses other than username@umontana.edu (associated with SSO login) are not posted as comments to tickets, as they are interpreted by Jira as being from an unauthenticated user. For the time being, users will need to log into ET Jira to manually comment on a ticket.

Data in the Banner system may need to be processed through various programs during off-peak usage hours or in a series with dependencies (e.g. process A needs to run to completion, followed immediately by process B). EIS uses the Automic Workload Application Suite to design and schedule these processes, which can use Banner delivered processes as well as any custom programs we have developed in support of business processes.
Data from the Banner ERP system is frequently required or desired for integration with other pieces of software run by departments across the UM campus. Examples include feeding student, faculty, and administrator information to the GrizCard system, sending financial information to State agencies, and integration with the Study Abroad system for foreign travel among many others.
Offices frequently have the need to gather information in the form of reports of various information contained in the Banner system. EIS has two primary methods for delivering this data to the user community, batch reports and the InfoGriz (umt.edu/infogriz) system. A report that needs to be scheduled and delivered via paper or email should be requested as a batch report. Reports that need to be run on an “as needed” basis can frequently be set up in InfoGriz to be run at the user’s discretion.
CyberBear is a web-based application allowing individuals access to view and manipulate their data in the Banner ERP system. Functions include class registration, transcript printing, grade entry, address changes, financial aid processing, bill payment, viewing employment records and many other tasks.
